i was looking for some samples of your companys cover letter that you would send out with a bid.

Karl we use two types of cover letters when submitting a bid. One is if we already have plowed the account and we are resubmitting a bid for a the upcomming year. In this case we generally keep it very friendly and use phrases such as "we have really enjoyed servicing your facility in the past and we hope to continue providing you with timely and efficient service". We then might mention a managers name in the letter along with some small points about the past year.

If the bid is for an account that we are bidding for the first time then the letter will have a bit more detail about ourselves and the services we provide. It might also mention some of the points that have been brought up at a bid meeting such as problem areas on site or the type of equipment we plan on using.

Try to avoid going on for a full page, its easier to hold a persons attention for a couple of short paragraphs then a long winded mission statement. We have a brochure for that and they can read it at their leisure. Bottom line from me would to keep it polite and simple. Hope this helps.

I'm in agreement with JD on keeping it small and simple ,less is more .

I am good friends with the owners of a major printing company here in my town in CT. When I went to them for some business cards ordered up they basically said heres the key to anything like a business card or a cover letter............................

As was stated already SIMPLE IS KEY............

and they said make sure all of the important information (company name, adress, phone number, names, etc.) is right there for everyone to see in a simple form in basic fonts.


Im sure that if you stop by your local print shop they can show you some good example cover letters. I know that my friends have a nice porfolio put together for their customers to see examples of what they are ordering....................
